1. How this agreement works
This agreement applies when a guest books, pays for, attends, joins, rides in, drives an approved company vehicle, uses equipment or participates in a Campfire Crew trip. The Campfire Crew supplies and allocates the trip vehicles; participants do not bring their own vehicles as part of a standard booking. By signing the separate electronic or written signature field, the participant confirms that they have read this document and agree to follow it.
Separate website forms collect the operational details needed for safety and trip planning. Those forms are part of the participant's pre-trip submission and must be true, complete and not misleading.
2. Eligibility and scope
- Participants must be 18 to 35 years old on the trip start date.
- Approved customer-drivers must meet the company's driver eligibility requirements, including minimum age, licence checks, fitness-to-drive requirements, briefing/assessment and any separate customer-driver agreement.
- The agreement applies to guided self-drive 4WD tag-along tours to Mulgumpin / Moreton Island and Minjerribah / North Stradbroke Island, including convoy travel, island camping where included, shared equipment and related activities.
- The agreement does not apply to products or specialist activities outside the confirmed Campfire Crew trip unless the company states this in writing.
3. Nature of the trips
Campfire Crew trips are social, outdoor, guided self-drive 4WD tag-along camping experiences using company-supplied and company-allocated vehicles. Every participant receives an allocated passenger place. Customer driving is optional, never guaranteed and only permitted after trip-specific approval by The Campfire Crew. Trips may involve ferry travel, convoy movement, beaches, sand tracks, island roads, campsites, basic facilities, shared camp setup, customer self-cook meals, coastal recreation areas, photography/videography, evening social activities and optional self-directed activities.
These trips are not luxury accommodation stays. Facilities may be basic, shared, remote, weather-affected, unsealed, limited or different from urban services. Conditions can change quickly, and itineraries remain flexible.
4. Risk warning and acceptance of inherent risks
Island 4WD driving, passenger transport, camping and outdoor recreational activities involve inherent risks. These risks may result in personal injury, illness, psychological harm, property damage, financial loss or death. Some risks are obvious. Others may be hidden, unexpected or made worse by tides, weather, fatigue, sand, terrain, darkness, group behaviour, participant decisions, remoteness, water, wildlife, vehicles, fire, equipment, alcohol or delayed emergency response.

- camping, tents/swags, shared camp setup, low-light movement, uneven ground, rocks, dunes and coastal areas;
- swimming, snorkelling gear use, kayaking/SUP equipment, beach games or other optional self-directed activities where available;
- campfires, gas stoves, cooking equipment, hot surfaces, sharp utensils and shared camp kitchen areas;
- heat, cold, rain, wind, storms, lightning, sunburn, dehydration, fatigue and changing island conditions;
- wildlife, insects, snakes, spiders, ticks, marine hazards, bites, stings and allergic reactions;
- third-party providers, campsite/property conditions, other road/beach users and delayed emergency response.
5. Safety, waiver and liability
Participants choose to join a recreational outdoor camping experience voluntarily and must take reasonable care for their own health and safety and for the safety of others. Safety briefings, staff directions, property rules, land-manager directions and applicable laws must be followed at all times.
To the maximum extent permitted by law, The Campfire Crew Pty Ltd, its directors, staff, contractors, guides, photographers, videographers, agents and representatives are not liable for loss, injury, illness, death, property damage, delay, expense or claim arising from inherent recreational risks, participant choices, failure to follow instructions, third-party provider conduct, weather, road/beach/water conditions, campsite conditions, wildlife, personal medical conditions, optional self-directed activities or matters outside the company's reasonable control. This does not remove liability that cannot legally be excluded.
6. Transport, customer-driving and itinerary changes
- The Campfire Crew supplies and allocates the trip vehicles. Participants must not bring or add a personal vehicle to the convoy unless the company approves an exceptional arrangement in writing before the trip.
- Participants must arrive on time, wear seatbelts, follow driver and guide instructions, avoid distracting drivers, secure belongings and treat vehicles respectfully.
- Seat, vehicle and tent allocation are at the company's discretion and may change for safety, balance, operational or group-management reasons.
- Smoking, vaping, alcohol consumption, open alcohol, vehicle damage, unsafe behaviour or misuse of vehicles is prohibited in vehicles.
- Driving is not included as a guaranteed booking entitlement. Approved customer-drivers may drive only if The Campfire Crew deems them suitable and approves them for that trip, and they must follow licence, sobriety, fatigue, briefing, convoy and customer-driver agreement requirements.
- Late arrival or missed pickup may result in missing the trip without refund, subject to the Refund Policy and applicable law.
- The company may change, cancel, delay, substitute or remove routes, timings, stops, campsites, activities or inclusions due to safety, tides, weather, ferry operations, park rules, water conditions, fire risk, vehicle issues, operational needs or group suitability.
- Staff decisions about safety, route changes, fires, transport, vehicle use, campsite behaviour, water entry, equipment, alcohol and emergencies are final during the trip.
7. Medical, allergy, dietary, medication and insurance requirements
- Participants must complete the separate medical, allergy, dietary and medication disclosure honestly and update the company if anything changes before departure.
- The Campfire Crew is not a medical provider. Staff may provide first aid within their training and competence and may contact emergency services where required.
- Participants remain responsible for their own health, personal medication, emergency medication, ambulance cover, insurance, medical decision-making and suitability for the trip.
- Severe allergies, anaphylaxis risks or serious medical issues may require manual review and may result in refusal of participation if the risk cannot be managed safely.
- The company cannot guarantee an allergen-free environment. Shared fridges, camp kitchens, cooking equipment, vehicles, campsites and participant-prepared meals may involve cross-contact risk.
- Before the trip, each participant must confirm that they have Medicare or provide private/travel insurance details. A participant using Medicare does not need to provide their Medicare number. A participant using private health insurance, overseas visitor health cover, travel insurance, personal accident cover or other suitable cover must provide the insurer name, emergency assistance phone number and policy or certificate number.
- The company does not interpret insurance policies and does not guarantee that an insurer will accept any claim.
8. Food model and camp kitchen safety
The Campfire Crew may supply pre-packaged ingredients and shared camp kitchen equipment for participants to prepare and cook their own food. The current model is customer self-cook: staff do not ordinarily cook, prepare, plate, serve or repackage customer meals, and the company is not operating as a restaurant, cafe or caterer for this model.
- Participants decide what they eat and remain responsible for their own dietary choices, allergies, intolerances and health requirements.
- Participants must follow staff instructions about food storage, fridge use, hand hygiene, raw/ready-to-eat separation, shared utensils, cooking equipment, cleaning and safe camp kitchen conduct.
- Raw meat must be kept separate from cooked and ready-to-eat food. Chilled food must be returned to fridges promptly.
- Participants must not use stoves, BBQs, knives, hot equipment, gas bottles or camp kitchen equipment while intoxicated or impaired.
- Leftovers are managed by participants at their own discretion using the storage arrangements made available by the company, unless staff direct that food must be discarded for safety.
9. Equipment, optional activities and water boundaries
- Company equipment must be used responsibly, only for its intended purpose and only as instructed.
- Participants must not modify, dismantle, overload, stand on, throw, misuse, remove or intentionally damage equipment.
- Optional activities are voluntary and self-directed unless the trip page expressly says otherwise. Participants must assess their own ability, confidence, health, sobriety and comfort before taking part.
- Water access and water equipment use are optional and self-directed. The Campfire Crew does not provide lifeguard services or formal swimming, kayaking, paddleboarding or snorkelling instruction unless expressly stated in writing.
- Participants must not enter water alone, at night, after alcohol, against staff instructions or where signage, property rules or conditions make entry unsafe.
- Optional third-party activities are separate from the Campfire Crew trip unless expressly stated otherwise and may require separate payment, waivers, insurance and provider terms.
- Participants may be responsible for reasonable repair, replacement, cleaning or recovery costs caused by negligence, recklessness, intoxication, intentional conduct, misuse or failure to follow instructions.
10. Participant conduct, alcohol and drugs
Participants must behave respectfully toward staff, other participants, property owners, local communities, rangers, ferry operators and the public. Participants must follow staff instructions, site rules, quiet hours, vehicle rules, environmental requirements and applicable Queensland laws.
- Harassment, bullying, threats, intimidation, discrimination, sexual harassment, violence, reckless behaviour and unsafe conduct are prohibited.
- Illegal drugs are prohibited. Excessive intoxication, unsafe drinking, pressure on others to drink, disruption, property damage or harassment will not be tolerated.
- No person may drive, attempt to drive, supervise driving, enter water, use water equipment or take part in safety-sensitive activity while affected by alcohol, drugs, fatigue, illness or medication.
- Participants must not enter restricted, closed, private or dangerous areas, interfere with wildlife, litter, damage property, breach environmental rules or disobey emergency directions.
- The Campfire Crew may warn a participant, remove privileges, remove a participant from an activity or trip, deny future bookings, contact police/emergency services or arrange transport at the participant's cost where conduct compromises safety, legality, property, the environment or the group experience.
11. Emergency consent and information sharing
If a participant becomes injured, unwell, missing, unconscious, unable to communicate or otherwise requires assistance, The Campfire Crew may take reasonable steps to assist. This may include first aid within staff training and competence, contacting 000, using emergency communications, contacting emergency contacts, arranging evacuation, contacting insurers or sharing relevant medical, allergy, medication, insurance and emergency contact information with emergency services, medical providers, insurers, rangers, property owners or authorised persons where necessary for safety, treatment, evacuation, incident management or legal compliance.
Participants are responsible for ambulance, medical treatment, rescue, evacuation, additional accommodation, altered transport and related costs unless the law requires otherwise.
12. Media consent and privacy
The Campfire Crew may capture and use trip photography, videography, action-camera footage, phone footage, drone footage where lawful, audio attached to video, group photos, candid campsite moments, vehicle footage, activity footage and social content for trip galleries, website content, booking platform listings, social media, paid advertising, promotional campaigns, email marketing, newsletters, brochures, brand material, highlight reels and community content.
The company will not intentionally film toilets, showers, changing areas, private sleeping areas, medical situations or inappropriate/private contexts. Participants must not film or photograph others in toilets, showers, changing areas, private sleeping areas, medical situations, distressing situations or vulnerable/private contexts. Drone use is subject to aviation laws, land-manager rules, privacy, cultural restrictions, safety, weather and operator judgment.
Personal and sensitive information is used for booking administration, trip planning, safety, first aid, emergency response, insurance, incident management, media management and compliance. It may be shared with staff, emergency services, medical providers, insurers, property owners or authorised persons where necessary. Information is handled in accordance with the company Privacy Policy and may be retained for business, safety, legal, insurance, archival, marketing or compliance purposes.
13. Required pre-trip forms and uploads
Before departure, participants must complete all required booking portal forms and uploads by the deadline set by The Campfire Crew. This may include participant and contact details, emergency contact details, medical/allergy/dietary/medication disclosures, optional activity suitability, insurance proof, signed participant agreement and any trip-specific information. Customer-drivers must also complete the separate driver agreement and damage/payment authority where required.
14. Effect of signing
By signing the separate electronic or written signature field for this agreement, the participant confirms that they have had the opportunity to read this document, ask questions before the trip, understand that island convoy travel, 4WD driving, camping, passenger transport, water access, cooking, coastal activities and optional activities involve inherent risks, and agree to follow staff instructions, safety briefings, site rules and applicable laws.
The participant also confirms that all separate forms will be completed honestly, insurance evidence will be uploaded when required, and any change in medical, allergy, dietary, medication, insurance, licence or activity-suitability information will be notified to The Campfire Crew before departure.
